Hosting an On Campus Event? We Are Here to Help!

Thursday, August 6, 2026, 9:42am

TO: Sonoma State Employees
FR: Kindra Kautz, Associate Director, Conference & Event Services

Conference & Event Services (CES) is hosting two upcoming training sessions to help faculty and staff navigate the campus event planning process. As the office responsible for scheduling reservable spaces for meetings, events, and other activities outside of academic classes, we're here to help make planning your department's events as smooth and successful as possible.

This training is designed for anyone who submits Event Request Forms (formerly RUFAS) or coordinates departmental events. Whether you're new to event planning or simply looking for a refresher, this session will help set you up for success. We'll walk through the event planning process, share helpful resources, and cover topics including:

  • How to request and reserve a campus venue
  • Rentable campus venues and what each space includes
  • Common mistakes on Event Request Forms (and how to avoid them)
  • Technology and catering basics
  • Important deadlines and timelines
  • Helpful tips and best practices for a smooth event planning experience

You will also have the opportunity to meet the CES team member who supports your department, ask questions, and put a face to the name of the person you'll be working with throughout the event planning process.

Choose the session that works best for you:

  • Monday, August 17 | 10:00 - 11:00 a.m.
  • Tuesday, September 1 | 2:00 - 3:00 p.m.
