CHRS: Time and Absence Reporting in May

Now that CHRS is live at Sonoma State, this message provides additional guidance regarding time and absence reporting for the May pay period.

Important Reminders

  • All May absences and hours worked (for hourly employees) should now be entered into CHRS
  • All May entries must be submitted no later than May 31, 2026

Leave Balance Information
As employees review their leave balances in CHRS this month, the main CSU Employee Balance Inquiry summary page may show zero balances. To view your current balances, please select Details within the page. Please note that employee leave accrual balances are not lost or impacted by CHRS implementation. All previously accrued and available sick leave, vacation, personal holiday, and other leave balances captured in the prior system have been loaded into CHRS and remain available for employee use.

Updates to Time and Absence Reporting

For Non-Exempt employees:
CTO and ADO usage should now be reported through the CSU Time tile in the timesheet rather than through Absence Management. Please use the following time reporting codes only:

  • CTO - Comp Time Taken
  • ADOT - Additional Day Off Taken

For Non-Hourly employees:

  • Do NOT report Regular (REG) time worked
  • Only report CTO or ADOT through the timesheet
  • Any other timesheet entries submitted through self-service will be removed and should instead be submitted to Payroll through normal department processes

For Hourly Employees (including Student Assistants):

  • Enter hours worked using the CSU Time tile
  • Webclock users may notice multiple punch types (including break, lunch and transfer); however, please only use the IN/OUT punch types
  • Timesheet users should use “Reg - Regular Hours” when reporting time

Student assistants should follow the hourly employee guidance above and are encouraged to reach out to their supervisor or Payroll if questions arise throughout this transition.

Additional Reminders
For all employee types, the “No Leave Taken” absence entry is no longer required in CHRS. Managers should also review their Manager Self Service pages to ensure that they are able to view and approve time as expected.
